Clause 1. The Pastorate Committee shall appoint one of its members to be the Secretary of the Committee for a period which shall not be more than three years at a time. The Secretary shall send out notices and agenda of meetings with the approval of the President.

Clause 2. He/she shall record proceedings of meetings which shall be finalized within ten days and be endorsed by the Presbyter-in-charge and preserve the records and other papers and issue credentials to representatives appointed to the Diocesan Council. All such credential letters shall be counter signed by the Presbyter-in-charge.

Clause 3. The Secretary shall keep an up to date inventory of all registers, files and any other papers concerning his! her office. When the Secretary ceases to be the Secretary of the Pastorate Committee, he/she shall immediately hand over the charge of files, registers and correspondence or any other papers in his/ her custody to his/her successors or Presbyter-in-charge and ' take a receipt for the same. The list of articles handed over shall also be recorded in the minutes of the Pastorate Committee.

Clause 4. The Secretary of the Pastorate Committee shall prepare an inventory of the movable and immovable prop­erty in the Pastorate and maintain it on file and also send a copy of it to the Property Committee of the Diocese and the Diocesan Office for records. He/she shall check the list once in a year and send a report of it to the Pastorate Committee and Property Com­mittee of the Diocese and the Diocesan Office.

Clause 5. If the Secretary fails to issue the notice of a meeting, the Presbyter-in-charge shall have power to issue such a notice as the President of the Pastorate Committee.
